MINUTES of the regular meeting of the Pitkin County Library Board of Trustees on September 11, 2024. The meeting was called to order at 12:04 PM in the William R. Dunaway Community Room.

TRUSTEES COMMENTS & LIBRARIAN'S REPORT

Trustee Comments-

  • Anna thanked the library on behalf of the Aspen Historical Society for the Petal it Forward campaign nomination.

Librarian’s Report-

  • Library Program Updates included Librarian Book Talks, Bike Maintenance Workshop 201, literature Out Loud, stories by Jolene McIlwain, a Cycle of Memory film with senior services, and Hamlet with Aspen Words.
  • Library Open House Party Sept 26, 4-6 pm (see new business- Monique’s presentation)
  • Operations Updates: For the 2025 Budget
    • Replacing service desks to prioritize staff safety, storage, and work functionality is estimated to cost $120,000
    • Adding study pods to meet the demand for rooms that can hold 2-4 people (modeled after CMC Quigley Library pods) at $25,000 each, with 3 budgeted for a total $75,000
    • Technology upgrades of AV equipment in meeting rooms are estimated at $100,000 with an RFP planned
    • Strategic Plan Consultant for long-range planning to meet Colorado Public Library standards- last plan was updated ten years ago and should be planned for every 5-10 years- estimated at $25,000
    • Electrification Retrofit – the newest estimate is at 3.3 million- will need to be in discussion with BOCC about the final contribution

Building Updates:

  • August 16- A valley-wide power surge resulted in the Library elevator, AC, and projector need in repairs- all have been completed
  • The sliding doors in the children’s room have been repaired
  • Carpets were cleaned over the Labor Day weekend, and runners are being added to help reduce damage to high-traffic areas. Rugs are cleaned twice a year.
  • Peep security holes were added to staff area doors for safety purposes.
  • Umbrellas on the outside deck have been fixed

  • The 2025 Budget was discussed, with clarifications made to line items discussed under operations updates

  • Open House & Art in Library presented by Monique Rodriguez, Adult Services Supervisor Open House Party September 26th from 4-6pm to celebrate National Library Card Month culmination of weekly events leading up to the party and to celebrate the library instead of the annual potluck. Extra librarians will be on hand to teach about the services available at the library. A banner will be hung over Main Street, and the new children’s library cards will be officially launched. New Art Tour—A new brochure with a map and information, along with placards, has been created to help patrons explore the art on display in the library. A tour has been created and may be included in the event at the open house. Discussion about Collections policy for accepting art in the future, as this might trigger new donations.
